How do I add a custom 503B item?

🔹 Problem Description:

Client is attempting to add a medication into the system and cannot find the NDC or medication name in the RxNAV database. Product is a 503B item.

 

🔸 Common Symptoms:

  • Medication name and/or NDC is not appearing when the “Display Only My Items” checkbox is unchecked.

 

🔹 Common Causes:

(List likely root causes based on previous incidents or manufacturer guidelines.)

  • Medication is not in the RxNAV database.
  • Medication is a 503B medication.

 

🔸 Common Resolutions / Troubleshooting Steps:

  1. Check internal medication database to be sure the medication is not in their system.
    • By name and NDC
  2. If the medication name is in the system, click the “pencil” edit button.
    • First, uncheck the “Display Only My Items” box to reveal other available NDCs.
  • Select the “+” button and input the necessary information.
  1. If the NDC is not there, you can add it by using the “Custom Item Template” and then moving the NDC under the corresponding name.
  2. If the medication name is not part of their database yet, you can use the “Custom Item” button in the top right corner of item setup.

 

🔹 Escalation Criteria:

  • If the medication cannot be added to the system, it may be under a different name, search thoroughly before escalating.
  • If a medication was deleted and cannot be restored.
  • Item is unable to be added for an unknown reason.
